What attire should I plan for?

  • Monday 2/19 – Welcome Reception: Casual (jeans are fine!)

  • Tuesday 2/20 – Chairman’s Club Gala: Cocktail Attire
  • Wednesday 2/21 – Daytime Sessions: Business Professional

How will I get to the hotel once my plane lands?

Elara Caring is providing paid ground transportation.  Any other means of transportation will not be reimbursed.

We are using Premier Transportation motor coach buses. These buses hold 56 passengers with plenty of space for luggage. Each terminal will have a greeter from Premier Transportation holding a sign with our logo on it. This is where you need to gather to wait for the bus.


  • There are 5-main terminals at DFW:  Terminals A – B – C – D – E
  • From baggage claim, head to the elevators at or nearest your terminal. Exits are at A20, B15, C17, D22, E20.
  • Take the elevator to the lower-level downstairs.
  • Then exit/go outside and locate the Charter Bus Loading Zone (RED ZONE) designated by a large RED sign and red pillars.
  • Your greeter will be standing at this location holding a sign with the Elara Caring logo. Please check in with them so they can mark you off their list.

Buses will be picking up every hour starting at 10 a.m., with the last one at 5 p.m.

If, after trying your best to find the location, you cannot locate the group, please find your terminal below and call your greeter.

I’m driving. Where do I park?

If you’re driving and need to park, there is complimentary self-parking in front of the hotel or in the Galleria parking garage. Ask the hotel front desk if you have questions.

When can I check in to the hotel?

Check-in on Monday 2/19 begins at 3:00 p.m. Early check-in may be available after noon. Check with the hotel for availability. You will need to provide a credit card for incidentals.

Please note: You should have received a booking confirmation from the hotel. Elara Caring is paying for all hotel rooms. Please do not submit your hotel booking confirmation for reimbursement.

Can I connect my Marriott Bonvoy account to my reservation?

Yes, make sure to give your Marriott Bonvoy rewards number at check-in so you get all your travel perks!

What if I arrive before the 3:00 p.m. check-in time?

If your room is not ready, the hotel can store your luggage. Just ask!

You’re welcome to explore the Galleria which offers options for food, walking and shopping while you wait. You may also utilize the lobby or the conference center at the hotel if you need to work.

What is the hotel wi-fi?
Guestrooms: Connect to “Westin Guest” and then the prompt for last name and room number will be asked to login to wi-fi in the guestrooms.

When is on-site registration?

Registration tables will be open on Monday 2/19 at 3:00 p.m. in the Dallas Foyer of the hotel (3rd floor lobby in front of the Dallas ballroom).

You’ll receive:

  • Your conference badge
  • Agenda and QR Code for Live Digital Agenda
  • Table assignment for Summit Days
  • Drink tickets, snacks and swag!

When is the Welcome Reception? What should I expect?

Join us at 6:00 p.m. in the Dallas foyer (same place as registration) for a mix-and-mingle welcome reception.

We’ll have games, music, food and drinks. Come ready to meet and greet!

Will meals be provided each day?

Yes, Elara Caring is providing dinner on Monday; breakfast, lunch and dinner on Tuesday; and breakfast and to-go snacks on Wednesday.

Please note: If you choose to purchase food outside of provided meals, those will be your own out-of-pocket expenses.

How do I get to the airport for departure?

Elara Caring is providing transportation to the airport once the Summit is finished on Wednesday. Snacks will be provided on the bus.

Please bring your luggage downstairs at our morning break.

If your flight leaves between 2-3:59 p.m., your luggage will be loaded on the bus at 10:30 a.m., and you’ll depart the hotel at 11:30 a.m.

If your flight leaves between 4-7:30 p.m., your luggage will be loaded on the bus at 1:00 p.m., and you’ll depart the hotel at 1:30 p.m.
